A private summer lounge evening for an IT team

Harbor of Events ran a private, lounge-style summer evening for an international IT team at a villa set in a pine forest near Warsaw. Instead of packed contests, the brief was room to talk and unwind: music, soft lighting, a bar, a shisha corner and comfortable lounge settings. The event ran from the afternoon through to the following morning, and Harbor handled the concept, catering, transport and full on-site coordination.

The setting and the format

The evening for an international IT team of 30 took place at a private villa in a pine forest near Warsaw. The generous, gated grounds made it easy to run an informal corporate event where no one is rushed and no one feels boxed in.

We kept the format deliberately calm and intimate: not a programme stacked with contests, but a lounge evening built around comfort, atmosphere and the quality of every detail.

The idea behind the lounge evening

The main aim was space to network and relax — so the team could talk freely rather than move from one scheduled activity to the next.

Music, lighting, shisha, the bar and a handful of seating areas carried the atmosphere. In place of loud, high-energy set pieces, the evening kept an even, unhurried rhythm in which everyone set their own pace.

The programme from afternoon to night

The event started at 2 pm and ran through to the next morning. A host stayed with the guests across the evening, a DJ set played, and a few light interactive moments added movement to the programme without overloading it.

The lighting shifted the mood of the space by stages — from daytime to evening, then into a late-night lounge feel — and stayed with the team right to the end.

Catering and the relaxation zones

The Harbor team chose a catering partner to suit the format. The menu combined a seated banquet with a buffet, so guests could settle at a table or move freely between the areas.

A separate part of the evening was the shisha lounge, run by a dedicated shisha master. Together with the bar and soft furniture, it became a hub the conversation gathered around.

Logistics and full coordination

Harbor took on the full organisation: the concept, logistics and transport for the guests, catering, shisha service, furniture and décor, the DJ and the host.

On the day, a coordinator kept the vendors and the timings on track and settled every question on site — so the team could simply relax rather than think about the running of it.
