Send us a message or call and briefly describe the event: the format, city, an approximate guest count and the date. We'll ask a few clarifying questions and suggest the next step. You don't need a finished concept to begin.
What information do you need for a first estimate?
The event format, city, an approximate guest count, the date and a rough budget are enough. The more detail you give, the more precise the preliminary estimate. If some of this isn't decided yet, we'll help you define it.
Do I need to come with a ready concept?
No. Clients often come with only an occasion and a few wishes. We propose the concept ourselves, based on the goal of the event, the team or guests, and the budget.
How quickly can I get a preliminary estimate?
After a short discussion we prepare a preliminary estimate on the day of your enquiry or the next day. The exact terms are set out in a personalised proposal once the details are agreed.

Budget and terms

What drives the cost and how we work with your budget.

How much does organising an event in Warsaw cost?
There's no fixed price: the cost depends on the format, date, guest count, city, venue, programme, technical production, catering and logistics. Once you've described the event briefly, we prepare a preliminary estimate on the day of your enquiry or the next day.
What determines the budget?
Above all the format and what goes into it, not just the number of guests. The venue, programme, catering, technical production, décor, transport and the length of the event all affect the total.
What's included in a preliminary estimate?
A preliminary estimate shows the approximate structure of costs for your brief: the main items and their scale. It's a basis for discussion, not a final invoice. The exact terms are set out in a personalised proposal once the details are agreed.
How does Harbor keep the budget under control?
We agree changes before they affect the estimate and show how each decision is reflected in the total. That way you see the budget transparently, with no unexpected costs.
How are payment and terms of cooperation agreed?
We agree the terms of cooperation individually for each event. The exact payment terms are set out in a personalised proposal after we've discussed the event.

Preparing the event

How the work unfolds after your first enquiry and who is responsible for what.

How far in advance should preparation start?
The earlier, the wider the choice of venues, dates and suppliers. There's no single lead time for every event: it depends on the scale, season, venue and supplier availability. We also take on last-minute events.
How does the work unfold after the first enquiry?
First we clarify the goal, format and budget, then we propose a concept and a preliminary estimate. Once agreed, we take on the suppliers, the schedule and preparation right through to the day of the event.
Does Harbor offer several concepts?
Yes, we usually show a few relevant options for your goal and budget. That makes it easier to compare and choose the direction that suits you.
Can the concept be changed during preparation?
Yes. We leave room for adjustments and adapt the plan if the inputs change. The main thing is to agree changes early so they don't affect the schedule.
Who coordinates the event on the day?
The Harbor team takes on coordination on the day: managing suppliers, the schedule and set-up. You take part in the event rather than dealing with organisational matters.

Do you organise team building?
Yes. We build team-building events around the goal and character of the team, from active outdoor formats to a calmer setting focused on conversation. We choose the activity with the make-up of the group in mind.About team building
Can the business and entertainment parts be combined?
Yes. A combination often works best: a working session or conference during the day and an informal part in the evening. We keep the business part to a clear schedule.
Do you organise corporate trips with accommodation?

What private events does Harbor organise?
We organise birthdays, anniversaries and private celebrations in Warsaw and across Poland. We match the format to the occasion, the guests and the atmosphere you want.
Can a birthday be organised end to end?

Can you create a themed concept?
Yes. We put together themed celebrations with a single storyline, style and detailing. How far the theme goes depends on the venue, budget and time available for preparation.
Can you bring in a host, musicians or performers?
Yes. We source a host, live music, a DJ and show acts to fit your brief. We confirm the line-up in advance around the budget and date.
Do you organise intimate events for a small number of guests?
Yes. An intimate format for a close circle is one of the most common requests. We keep a cosy atmosphere and pay attention to the details.

Logistics and the event day

Cities, transport, weather and coordination on site.

Does Harbor work only in Warsaw?
No. We're based in Warsaw and organise events across Poland. We consider international destinations case by case, after checking the logistics and the terms of the relevant specialist suppliers.
Do you help with transport and accommodation?
Yes. Transfers, getting around on site and, where needed, accommodation are part of the organisation we take on. We factor the logistics and any accommodation into the personalised proposal.
What happens if the weather changes?
For open-air events we prepare a backup scenario or an indoor option, and we give advance notice of any changes to the schedule. Force majeure can't be ruled out entirely, but we build in contingency solutions.
What's included in coordination on the event day?
The Harbor team manages suppliers, the schedule and set-up, welcomes guests and resolves matters on site. You can be a participant in the event rather than its dispatcher.
Can the client use their own venue or suppliers?
Yes. If you have your own venue or trusted suppliers, we build them into the programme and coordinate them with everyone else.
